# Inbox and form messages

Read, search, sort and delete the messages your site forms collect, reply from your own email program, and see which emails UOVA sends you about them.

Every form on a published site sends its submissions to your **Inbox**. Open the account-wide Inbox from the dashboard panel, or a single site's Inbox from inside that site. Both show the 500 newest messages, and the page header reads "No unread messages" or the number unread.

## The Inbox screen

| Item | How it works |
| --- | --- |
| Tabs | **Inbox**, **Unread** (with a count) and **Spam** (with a count). |
| Search | **Search messages**, also focused by `/`. |
| Site picker | In the account-wide Inbox, **All websites** narrows the list to one site. It appears once you have messages from more than one site. A site's own Inbox links back with "All websites' messages". |
| Mark all read | A button in the page header while anything is unread. |
| Bulk actions | Tick the checkbox that appears on a row, or use **Select** on a phone. A bar offers **Mark read**, **Mark unread**, **Spam** (or **Not spam**) and **Delete**. |
| Layout | Two panes, list and message, when the page is wide enough. Narrower, a message opens over the list: in a side drawer on a tablet and a full screen on a phone. |

## Read a message

Opening a message marks it read, and a toast offers **Undo**. The message shows the sender's name, their email with a **Copy email address** button, and their phone number as a link. Under that are the form it came from, the site, and when it was received, then the message text. Any extra form fields appear below it with readable names, and an empty one reads "Not answered". A submission with no text shows "No message was written."

### Reply

- **Reply by email** opens your own email program with the sender's address filled in and the subject "Re: <form> · <site>".
- **Call back** appears instead only when the sender gave a phone number and no email address. It opens a call link.
- With neither an email nor a phone number there is no reply button.
- **Open contact** appears when the sender matches a contact. See Contacts below.
- There is no reply from inside UOVA.

### Spam and delete

UOVA flags obvious junk as spam when it arrives. You can move any message to **Spam** or back with **Not spam**. Spam is stored and visible in the Spam tab, but it is never emailed to you and does not start any automation. **Delete** asks "Delete this message?" and warns "Deleted messages can't be recovered. The contact they created stays in Contacts."

### Keyboard shortcuts

- `j` and `k` move to the next and previous message.
- `e` toggles read.
- `#` deletes, after a confirmation.
- `Esc` closes an open message.

## Emails you receive

Each non-spam submission is also emailed to your account email, or to a recipient you set. The email comes from `UOVA Forms <forms@uova.com>` with the subject "New message on <site> from <sender>", and replying to it reaches the visitor. In the editor, open Project settings > **Forms** to set a default recipient for all forms, with optional routing for Contact, Inquiry, Booking, Reservation, Newsletter and Guide / Lead magnet forms. See [Forms and contact blocks](https://www.uova.com/help/build/editor/forms).

- UOVA emails up to 20 messages per site per UTC day by default. After that you get one summary at 23:55 UTC, titled "<n> more messages on <site> today", sent to your account email. Every message is still in the Inbox.
- By default one address receives at most 8 form emails a minute, 60 an hour and 300 a day. A flood above that is not emailed, and the messages stay in the Inbox.
- Spam is not emailed.
- The **New message email** switch for each live site is in Account settings > **Notifications**. Turning it off stops both the per-message emails and the summary.

> **Visitors get no automatic reply:** UOVA does not email the visitor a confirmation when they submit a form. If you want them to know their message arrived, reply from your own email program.

## Contacts

A submission that includes a sender email also becomes a contact labelled **Contacted Me**. Contacts have their own page with **All**, **Subscribers** and **Segments**. There you can add, edit, label, delete and unsubscribe contacts, and **Export CSV**.

## Limits

| Limit | Detail |
| --- | --- |
| Size of a submission | 32 KB. |
| Submission rate | 5 requests a minute per visitor address. There is no CAPTCHA; a hidden honeypot field is used instead. |
| Messages shown | The 500 newest. |
| Draft sites | A site's Inbox asks you to publish first. |
| Export | None from the Inbox. CSV export exists only on Contacts. The account data export in Settings includes form messages. |
| Undelete | Not available. |
| Reply | By email link, or a call link, only. |

> **Delete is permanent:** A deleted message cannot be restored. To keep a copy, download your data export from Account settings > **Your data**, which includes form messages.

**I got a message by email but it is not in my Inbox.**

Check the **Spam** tab, and check that you are looking at the right site. The account-wide Inbox and each site's Inbox show their own scope.

**Can I reply to a visitor inside UOVA?**

No. **Reply by email** opens your email program.

**Why did I stop getting an email for each message?**

After 20 emails for one site in a UTC day, UOVA sends a single summary at the end of the day. The **New message email** switch in Notifications also turns the emails off.

**Do visitors get a confirmation email?**

No. UOVA sends no automatic reply to the person who filled in the form.

**Can I export my messages?**

Not from the Inbox. The data export in Account settings includes them.
